Sharing Files and Folders

These insructions are useful when sharing files and folders with other users of the Johns Hopkins Institutions.  For sharing tips outside of the Institution, you will need to create a ticket.

Sharing a Folder
  1. Select the folder that you wish to share.
  2. Select the Share  icon share imageto the right of that folder.  This will show you the current share properties for this folder.

Adding a User/Group to Permissions List

  1. Select the Add User/Group Icon add user image from the top of the screen
  2. Select either a Contact, or enter a user from JHED by either their Display Name or JHED ID.

  3. Once a user/group has been selected, the Change Permissions page will appear.

  4. Set the permissions and scope of permissions as desired and select Apply Now.

Removing a User/Group from Permissions List

  1. To remove a User/Group, select the Remove User/Group Icon remove user image at the top of the screen.
  2. Place a check mark in the box next to the User/Group that you would like to remove.  Note:  You are able to remove this user/group's access to either all sub-directories and files in the folder or only to the current directory.

Select "Apply Now" Note:  Even though the permissions are deleted for the groups "Logged-on users" and "Public", these groups will still be displayed in the permissions list; however, they will not have any permissions set.
  • Set the permissions and scope of permissions as desired and select Apply Now.
  • Creating Tickets

    In order to share files and folders to users outside of the Institution, you will need to create a ticket:

    1. Select the file/folder that you would like to share.
    2. Select the Share Icon share imageto the right of that object.
    3. Select the Tickets Icon tickets imageat the top of the screen.
    4. Select the Create Ticket Icon create tickets imageat the top of the screen.  A new window will open.

    5. Define the permissions that you would like to apply to this object.
    6. Save the ticket name.
    7. Select a duration to share this ticket.  (i.e. Unlimited or Limited) and click on "Ok".  You will be provided with a confirmation and URL that you may now email to the person that you wish to share.
    8. By selecting the Email Link Icon email link image , JShare will open your default email client and automatically place the URL in the body of your message.

    Deleting Tickets

    1. Select the file/folder that you created the ticket.
    2. Select the Share Icon share imageto the right of the object.
    3. When you created your ticket, it was added as a shared user.  To delete the ticket, you have to delete the user.
      Put a check in the box that corresponds with the ticket/user and delete.
    4. Define the scope of the change and select "Apply Now".
